Create Your First Booking

Create a room stay, a service-only booking, or both in one booking.

Booking Guide · Booking details · Daily operations

Before you begin

Select the correct hotel. You need booking-create permission, an active hotel, and payment setup that allows staff bookings. An administrator can resolve payment setup problems in Hotel Profile.

Configure the rooms/services and their prices first. For room stays, physical room units must be ready for assignment at check-in. Guest identity proofs are collected later; hotel KYC is currently paused and does not block creation.

The wizard has four stages: Rooms → Services → Guests → Review. Search is part of Rooms.

Step 1: Search for a stay

  1. Open Bookings → New Booking.
  2. Choose check-in, checkout, and the guest count.
  3. Select Search to see availability and prices.

Choose 1–365 nights and 1–20 guests. The picker prevents past stay dates. Checkout is not charged: 10–12 June means the nights of 10 and 11 June.

The stay bar shows the booking's check-in, checkout, guests, and nights. Use Edit stay to search again; the applied quote stays in place until a replacement search succeeds. A successful replacement search clears the room and service selections, so choose them again before continuing.

Step 2: Choose rooms and room add-ons

  1. Add a room type and set the number of rooms.
  2. Open Room add-ons for extras attached to those rooms.
  3. For several rooms of one type, choose Same for all rooms or Per room.
  4. Select Next to services.

Room cards show the nightly rate before tax, or an average when nightly rates vary. Availability uses the lowest room count across the occupied nights. Missing prices or taxes must be refreshed before purchase.

Room quantity counts purchased rooms. Controls limit it by availability and the booking's guest count. Guest-priced add-ons also respect room capacity, service limits, and the number of guests already receiving that same service on each date. Different services have separate limits.

Shared and individual room add-ons

ControlUse it to…
Same for all roomsEdit add-ons together for the selected room type.
Per roomSet different extras and quantities in the Room 1, Room 2, etc. tabs. These are purchase labels, not physical room numbers.
Delete a roomRemove that room selection and its attached add-ons. Standalone services remain separate.

Switching views preserves selections. If different room packages cannot become one valid shared package, choose an offered compatible package, remove the affected room add-ons, or keep editing each room. A compatible package is offered only when one fits every selected room.

Adding/removing rooms may redistribute shared guest add-ons; per-room editing preserves individual choices. Recheck guest allocations, quantities, discounts, and totals after a room-count change.

Review room add-ons

Click a room add-on's name or photo for its description, current unit rate, offer, quantity scope, and selected quantity. Guest-priced shared services also offer All N guests / Remove all N guests controls, with N showing the available or selected count.

Check each service's rate and whether it is charged once or per night. Resolve any displayed pricing or availability issue before continuing. Time-window/hourly services are not bookable in this wizard.

For a service-only booking, leave rooms empty and continue. A room add-on cannot be purchased without its room.

Step 3: Choose standalone services

This stage offers services for the booking as a whole. Edit room-attached add-ons in the Rooms stage. Services are optional when rooms are selected; a service-only booking needs at least one eligible standalone service.

A service has a pricing basis (what is counted) and a frequency (once or per night):

BasisWhat is counted
Per bookingOne booking. Frequency still determines whether the charge repeats.
Per roomPurchased rooms; requires rooms in the booking.
Per guestSelected people, within guest/capacity limits.
Per unitPurchased service units.

Check the quantity, pricing basis, frequency, and rate shown, then select Continue to guests. A unit rate is not the full booking total.

Step 4: Enter the booking contact and optional GST information

The main Guest Details card collects the booking contact. Its GST section is optional and shares the same card.

FieldRequired?Rule
First NameYesNonblank.
Last NameYesNonblank.
Email AddressYesValid email.
Phone NumberYesDigits only, with no length limit.
Customer NotesNoRequests or booking context.
Company nameNoUp to 200 characters.
GSTINNoA supplied value must match the 15-character format; letters become uppercase.
AddressNoMultiline company billing address.

Address is separate from the hotel's address and guest ID proof. Outer spaces are removed on save; a blank address is omitted. These contact details do not create staying-guest identity records.

Select Review booking. Invalid required fields or GSTIN keep you on Guests with a message.

Step 5: Review the complete booking

The Review card shows stay dates, guest count, contact/GST details, room selections, services, and item totals. Use the header's completed steps or Back to correct a draft. On Rooms, Back leaves for the booking list; the footer's first-stage action is Cancel.

The Price Summary shows room packages, standalone services, Subtotal, Tax, any discount, and Total Amount. Identical room packages may be grouped; their room/add-on breakdown is already visible beneath the group.

Open Adjust individual discounts for each item's rate, quantity, charge calculation, tax, and discount field. Discounts are rupee amounts, capped at the item's pre-tax subtotal. Leave the field or press Enter to apply an edit.

The footer keeps the selection count, guests, nights, standalone-service count, full-stay tax-inclusive total, and navigation actions visible. Do not multiply this total by nights again.

A worked price example

One room for two nights at ₹4,500 per night, plus a ₹1,200 once-priced transfer. Assume 5% tax on both and no discount:

ItemBefore taxTaxTotal
Room: ₹4,500 × 2 nights × 1 room₹9,000₹450₹9,450
Transfer: ₹1,200 × 1₹1,200₹60₹1,260
Booking₹10,200₹510₹10,710

Varying nightly rates are summed, and checkout is excluded from nightly charges. The total is Subtotal + Tax − Discount.

Step 6: Confirm and find the saved booking

Select Confirm booking once. When services are selected, VeraBooking refreshes their prices/availability. A change returns you to the relevant Rooms or Services stage for correction, preserving the guest draft.

Success normally returns to Bookings. If the saved total differs from the preview, a persistent warning appears and the saved details page opens. Check the saved total before collecting money.

Confirm booking submits the form; the server decides the saved status. A Draft still needs Hold → Confirm before check-in. Creation alone does not assign physical rooms, add staying guests, collect money, or issue an invoice. Continue with daily operations.
